SUNDAY UPDATE 4-27

Hello Stingray Families!

Summer league is officially underway and we have Time Trials this Saturday May 3rd. This email contains information on meets and volunteer expectations. The organization and execution of the Spring Cypress swim team program is a tremendous effort. Without parents and family members filling positions at every swim meet, it would be impossible to run them smoothly.

PLEASE NOTE -

***** If your swimmer cannot attend Time Trials, make ups will be this week everyday but only during 1st Practice (4:15pm - 5:15pm) & Last Practice (7:25pm - 8:10pm). Parents will be required to time. The timing will occur in Lane 1. If your swimmer does not get their times in they cannot participate in the first meet against Northampton. Please use the google form link below to record your swimmer’s times.

There will be another email sent out Thursday regarding all the information you need for Time Trials on Saturday so be on the lookout!!

LONGWOOD POOL & PLAYGROUND AREA

Swimming is not allowed in the small pool or big pool during practice time or meets.

All items that are left at practice will be put in the LOST AND FOUND bin located right when you walk into the pool by sign in.

The HOA of Longwood is very supportive of our team and we want to keep this relationship in good standing by keeping the pool area and playground clean.

VOLUNTEER INFORMATION

Job Signup will open today at 12 PM. Here are the links to the video tutorials for how to sign up for Meet Declaration and Volunteer Shifts.

6 Volunteer Shifts + 1 divisional shift per family is required (if there is an issue with completing those shifts, please contact the Volunteer Coordinator).

There is a list of volunteer positions with descriptions on our website - https://scst.swimtopia.com/volunteer-information . If you have any questions regarding positions please contact the Volunteer Coordinator.

Most jobs do not require any experience. If the job is listed as preassigned, it does require special approval. Please do not sign up for those; unless given pre-approval.

We would ask that each family only sign up for 1 Volunteer shift at Time Trials in order to give everyone a chance to get a shift that wants one. If there are shifts that haven’t been filled on Tuesday, then feel free to sign up for a second shift.

A $300 credit card pre-authorization fee was required at sign up to ensure your shifts are filled. This will ONLY be charged to your credit card (credit card that you used at registration time) at the end of the season if your volunteer responsibilities are not fulfilled.

TENT SET UP/BREAKDOWN

In addition to your 6 shifts, we have set up and breakdown at each meet to set up the items needed including age group tents, ready benches, lane ropes, chairs, etc. It is SCST policy that Meet Set Up/Breakdown does not count as your regular volunteer position. It is an extra function in which ALL swim parents are expected to participate. (If you are unable to fulfill your designated time, it is your responsibility to switch with another family.)

Please visit https://www.scstingrays.net/parking-and-pool-map for meet parking AND for set-up. Please make note of the entry and exit for the pool and where to set up family tents. There will be NO SET UP of tents or chairs inside the pool area. There will be tents for each age group and space for the families to have their own tent. Come into the pool area to volunteer, watch or shop (concessions will be inside at the sign in counter and the team store will be under the big pavilion). Meet parking is similar to practice, only we are able to utilize Louetta (single side in each direction only, please.)

  • This is the preferred communication tool of the coaches, and the best way to get up-to-the minute information about practices and meet cancellations and changes. Please sign up as soon as possible to stay in touch.
  • For ALL swim meet information, download the SWIMTOPIA app and TIME DROPS LIVE! (code for login will be provided on the day of the meet) from Apple Store or Google Play. These apps are how heat sheets are shared and how to stay informed of what event is up next. If you are new, ask an experienced swim team parent or board member to walk you through the apps before Time Trials.

  • When: All raffle entries must be received by Wednesday, April 30. Winners will be announced Friday, May 2nd and contacted via email or phone.

Coaches Corner

We had another great week of practices. All groups are looking strong!

This week we will be reviewing all strokes to prepare for our upcoming Time Trials on Saturday! While there will not be any disqualification called at Time Trials, coaches will be taking notes and letting swimmers know how they can be disqualified in each event.

We know that we have very well rounded athletes who may have prior commitments on Saturday, so we do have make-up trials for those who are unable to attend Saturday. Make-up trials are reserved only for those who have prior commitments.
